Understanding TDS reconciliation and defaults

Everything below is written for businesses with TDS default notices or mismatches — why defaults arise, how they're corrected, and how to stop them recurring.

What is TDS reconciliation and default rectification?

When TDS returns are processed, the system compares what you reported with what you deposited, the PANs you quoted, and the rates you applied. Any gap becomes a 'default' on TRACES, usually with a demand for interest, late fees, or short deduction.

Reconciliation matches your books, challans, and returns. Rectification fixes the errors — through correction statements, challan corrections, or paying what's genuinely due — so defaults are cleared and your payees get their credit.

The key terms

Most TDS defaults fall into a few types:

Short payment
The TDS reported in the return is more than the challans matched to it — often because the wrong challan was tagged.
Short deduction
TDS was deducted at a lower rate than the system expects, for example where the PAN was invalid.
Late deduction or payment
Tax was deducted or deposited after the due date, attracting interest.
Late filing fee
The return was filed after its due date, attracting a fee for each day of delay.
PAN errors
Invalid or wrong PANs, which also stop the payee from getting credit.
Correction statement
A revised TDS return filed on TRACES to fix errors in the original.
Justification report
A report from TRACES explaining each default line by line.

A simple example

A Hyderabad contractor receives a TRACES demand of ₹3.4 lakh across two years. The justification report shows most of it is short payment — challans were paid but tagged to the wrong quarter — and short deduction from three vendors whose PANs were mistyped. Correction statements re-tag the challans and fix the PANs, reducing the demand to ₹28,000 of genuine interest for late deposits, which is paid. The vendors now see their TDS credit, and the demand is closed.

Why it matters

TDS defaults rarely go away on their own:

Demands grow
Outstanding defaults can accumulate interest and be adjusted against your income-tax refunds.
Most are fixable
Many defaults come from data errors, not unpaid tax, and disappear once corrected.
Payees lose credit
Vendors and employees can't claim tax that doesn't appear against their PAN.
Refunds held up
The department can adjust outstanding TDS demands against refunds due to you.
Time limits
Some corrections and challan changes can only be made within set time limits.
Due diligence
Open TRACES demands show up in investor and lender reviews.
Recurring errors
If the root cause isn't fixed, the same defaults appear every quarter.

Who is this for?

  • Businesses with outstanding TRACES demands
  • Deductors who received default intimations or notices
  • Businesses whose vendors or employees can't see their TDS credit
  • Companies preparing for due diligence with open TDS issues
  • Businesses taking over TDS compliance from a previous accountant

Genuine shortfalls — tax not deducted or not paid — still have to be paid with interest. Rectification clears defaults that come from errors, not ones that are real.

How we clear defaults

Rectification usually follows these steps:

  1. 1

    Download defaults

We download default summaries and justification reports from TRACES.

  2. 2

    Analyse each default

Each line is traced to its cause: data error or genuine shortfall.

  3. 3

    Reconcile

Books, challans, and returns are matched for the affected periods.

  4. 4

    File corrections

Correction statements fix PANs, challan tagging, and other data errors.

  5. 5

    Pay what's genuine

Genuine interest, fees, or short deductions are paid.

  6. 6

    Confirm closure

Defaults are rechecked on TRACES until cleared.

Preventing defaults

Fixing the cause is what stops defaults recurring:

Verify PANs first
Verify PANs before the first payment to any new payee.
Tag challans correctly
Pay each challan for the right section and period.
Deposit on time
Pay by the 7th to avoid interest.
File on time
File quarterly returns by their due dates.
Check after each return
Review TRACES after processing and fix issues immediately.
Keep the trail
Keep workings and challans for every quarter.

—FAQ

Questions businesses actually ask us

Usually because of data errors — challans tagged to the wrong quarter or section, wrong PANs, or amounts reported differently from what was paid. These can be fixed with correction statements.
