Migrating Accounting Software Without Losing Data: A Practical Checklist
A practical checklist for moving from spreadsheets or one accounting package to another: planning, data migration, reconciliation and going live.
Moving to new accounting software can save hours every month — or create a mess that takes months to untangle. The difference is planning. This checklist covers the steps for a clean migration.
Before You Choose
- List what you need: invoicing volume, inventory, multiple branches or GSTINs, e-invoicing, integrations with banks, payment gateways or e-commerce.
- For a company, confirm the software has a non-disableable audit trail and supports daily backup in India.
- Check that it handles GST returns, e-invoicing and e-way bills if you need them.
- Consider who will use it and how much training they'll need.
Plan the Cut-over
Choose a clean switch date — ideally the start of a financial year, or at least a quarter or month. Switching mid-month makes reconciliation much harder.
Design Before You Import
- Review the chart of accounts. Migration is the best chance to fix a messy one.
- Set up tax codes, invoice numbering series and formats.
- Define user roles and approval rights.
Migrate the Data
- Clean up customer, supplier and item masters before importing them.
- Import opening balances as at the cut-over date.
- Import open invoices and bills, so receivables and payables carry over in detail.
- Decide whether to import transaction history, or keep the old system available for reference.
Reconcile
Check the opening trial balance in the new system against the closing one in the old. Reconcile bank balances, receivables, payables and stock. Don't go live until they agree.
Connect and Test
- Connect bank feeds and test them.
- Set up and test e-invoicing and e-way bills.
- Test integrations with payment gateways, e-commerce or payroll.
- Confirm the audit trail is on and backups are running.
Go Live
- Train the team before the switch.
- Consider running both systems in parallel for the first month.
- Keep the old system's data for the full retention period.
