GST Registration Amendments: Core and Non-core Fields Explained
Which GST registration changes need officer approval and which don't, how to file REG-14 within 15 days, and when a change needs a new registration instead.
Businesses change: they move premises, add partners, change their name, or add a warehouse. Each change has to be reflected in the GST registration. Some changes need an officer's approval; others are updated directly. This guide explains the difference.
Core Fields
Changes to core fields are filed in Form REG-14 and approved by the tax officer. Core fields include:
- The legal name of the business, where the PAN stays the same.
- The address of the principal place of business, other than a change of state.
- Addresses of additional places of business.
- Addition or removal of partners, directors, Karta, or others responsible for the business.
The application must be filed within 15 days of the change, with supporting documents. The officer can approve it, or ask for clarification, within the prescribed time.
Non-core Fields
Other details — like contact details, bank account details, and the goods and services you supply — can be amended directly on the portal, without approval.
When You Need a New Registration Instead
- A change of PAN, for example when a proprietorship becomes a company or LLP. The new entity needs its own registration.
- Moving the principal place of business to another state.
- Starting business in a new state.
Documents
- For an address change: proof of the new premises, and a rent agreement and consent letter if not owned.
- For a new partner or director: their PAN, Aadhaar, photo, and the updated deed or resolution.
- For a name change: the fresh certificate of incorporation or amended deed.
Why It Matters
- An outdated address can lead to failed verification and suspension.
- Customers see your legal name on the GST portal, so a mismatch causes confusion.
- Officers expect the people responsible for the business to be on record.
